HandyCafe, LLC ("we", "us", "our") operates the HandyCafe internet cafe management software and the handycafe.com website. This Privacy Policy explains how we collect, use and protect your information.
2. Information We Collect
Account Information
When you purchase a subscription, we collect your email address, name and payment information. Payment processing is handled by Stripe; we do not store your credit card details.
Software Usage Data
Our software periodically contacts our servers to verify license status. During this process, we receive your product key, serial number, IP address, software version and operating system information.
Website Analytics
We use cookies and analytics services to understand how visitors use our website. This includes IP address, browser type, pages visited and referral source.
3. How We Use Your Information

4. Marketing Communications
If you have created an account or subscribed at handycafe.com, we may send you marketing emails about new features, pricing changes, product launches and related offers. We send these messages in compliance with the U.S. CAN-SPAM Act, the EU GDPR and Canada's CASL.
Every marketing email includes a clear unsubscribe link in the footer. One click is enough; no login is required. We also support RFC 8058 one-click unsubscribe, which lets your email client (Gmail, Apple Mail, Outlook) remove you with a single tap directly from your inbox.
Once you opt out, we stop sending marketing messages within 10 business days. We continue to send transactional emails that you cannot opt out of (account notices, password resets, payment receipts, security alerts) because they are required to operate your account.
5. Data Sharing
We do not sell or rent your personal information. We share data only with:
- Payment processors (Stripe) to process transactions
- Email delivery providers (Mailgun) to send transactional and marketing messages
- SMS verification providers (Twilio) to send phone login verification codes
- Hosting providers to operate our infrastructure
- Law enforcement when required by applicable law
6. Data Security
We use industry-standard security measures including encrypted connections (TLS/SSL), secure server infrastructure and access controls to protect your data.
7. Data Retention
We retain your account information for as long as your subscription is active and for a reasonable period afterward for record-keeping purposes. License verification logs are retained for up to 12 months. Marketing opt-out records are retained indefinitely so we can honor your preference.

10. Children's Privacy
Our services are intended for business use by internet cafe operators. We do not knowingly collect information from children under 13.
11. Mobile Application (HandyCafe Member App)
The HandyCafe member app lets internet cafe customers sign in, see their balance and activity across the cafes they visit, find nearby cafes and start a session by scanning a cafe QR code. This section describes the data the app handles.
Information the app collects
- Phone number (required): you sign in with your phone number and a one-time SMS code. The verified number is your account identity.
- Profile details (optional): a display name, an email address and a profile photo you choose to add.
- Approximate location (optional): with your permission, your device location is used to show nearby cafes and the distance to them. It is not stored or shared.
- Activity at cafes you visit: each cafe you use syncs your balance, session history, spending, app and game usage and loyalty level so the app can show them in one place.
Device permissions
The app requests the camera only to scan a cafe QR code to start a session, the photo library or camera only when you choose a profile photo, and location only to show nearby cafes. Each permission is optional and is used solely for the stated purpose. Scanned QR images are not stored.
Service providers
We use Twilio to send the SMS verification code and, where you top up a balance, Stripe to process the payment. We do not sell your personal information.
Deleting your account
You can permanently delete your account at any time from Profile, then Delete account inside the app. This removes your account and personal data (phone number, profile details, favorites and reservations). Financial and session records held by the cafes you visited are kept anonymized where required by law.
12. Changes to This Policy
We may update this policy from time to time. Changes will be posted on this page with an updated revision date.
