Cloud

The Cloud page connects your HandyCafe server to HandyCafe's online services. It is the home for the live connection between your cafe and the cloud, the Cloud package, cloud messaging, and separately purchased services such as Cafeteria.

Open the Cloud page from the Cloud button in the main toolbar. Access is controlled by the cashier role system. Owners with the Admin role always have access. Other staff see the page only if their role grants the Cloud permission.

Tabs

The Cloud page is organized into a row of tabs across the top:

Tab Purpose Availability
Overview Connection health and a summary of your products and subscriptions Free
Tournaments and Events Publish competitions and events to your members Free
Cafeteria Food and drink service setup Cafeteria module
AI Suggestions Insights and action tips generated from your data Cloud subscription
Backup & Sync Off-site encrypted database backups and live sync Cloud subscription
Benchmark Anonymous comparison against peer cafes Cloud subscription
Messages Messages sent from the HandyCafe cloud Free

A tab that requires a subscription you do not have shows a small PRO badge. Selecting it opens a feature teaser instead of the content.

Live Link

The Live Link is the real-time connection between your cafe and the HandyCafe cloud. When it is active, your server can receive messages, run cloud backups, and contribute anonymous benchmark data.

The connection status appears on the Overview tab and the Backup & Sync tab:

  • Cloud connected: The Live Link is active. The page shows the time the connection was established.
  • Cloud disconnected: The Live Link is down. The page shows the last error and, when a retry is scheduled, the next reconnect attempt.

Live Link and remote messaging are always included at no extra cost. They do not require a paid subscription.

Modules and Subscriptions

Cloud features are grouped into modules. Some are free and always available. Others are paid and unlock when you subscribe.

Module What it unlocks Type
Live Link Real-time cloud connection Free
Remote Messaging Cloud messages to and from your cafe Free
Cloud Online Gaming catalog, Mobile Management, Mobile Member, AI Suggestions, Benchmark, and Cloud backup Subscription
Cafeteria Food and drink service. Purchased separately from Cloud Subscription
Cloud + Cafeteria Both paid packages for one cafe at the bundle price Subscription
AI Assistant Plain-language questions about your data Credit based
Payments Online card payments from members Commission based

The product name is Cloud. Cloud backup is one feature inside that package, not the name of the subscription. A Cloud subscription includes the Online Gaming catalog, Mobile Management, Mobile Member, AI Suggestions, Benchmark and Cloud backup. It is a single package for the selected cafe and costs $24.99 per month or $249 per year. The price does not change with the client count.

Cafeteria is not included in Cloud. It is purchased separately as a single package for the selected cafe at $19.99 per month or $199 per year. Its price also does not change with the client count.

The Cloud + Cafeteria bundle grants both packages to the selected cafe. It costs $34.99 per month or $349 per year. If the cafe has one active individual Cloud or Cafeteria subscription, you can upgrade it to the bundle immediately. Stripe credits the unused value of the individual package and charges only the prorated difference for the rest of the current period. The renewal date stays unchanged when the billing period stays the same. Two separate active Cloud and Cafeteria subscriptions cannot be combined automatically because they may have different renewal dates. Contact support for that case.

Buy the Cloud package

The Cloud package is purchased for the selected cafe from the HandyCafe dashboard:

  1. Open Add-ons and select the cafe that will use Cloud.
  2. Find the Cloud card. Yearly billing is selected by default.
  3. Select Choose yearly for $249 per year or switch to Monthly for $24.99 per month.
  4. Review the Cloud + Cafeteria suggestion if you also need Cafeteria.
  5. Review the package, billing period and recurring price.
  6. Select Continue to payment to open the secure payment page.

If you choose monthly billing, HandyCafe shows the yearly saving before checkout. You can switch to yearly billing or continue with the monthly purchase.

A new add-on subscription starts on the purchase date. The first full monthly or yearly price is charged when the secure checkout completes. Its renewal date is based on the add-on purchase date and does not use the remaining days of the Genesis plan.

Buy the Cloud + Cafeteria bundle

  1. Open Add-ons and select the cafe that will use both packages.
  2. Find the Cloud + Cafeteria subscription card.
  3. Select Choose yearly for $349 per year or switch to Monthly for $34.99 per month.
  4. Review the saving shown against buying both packages separately.
  5. Review the bundle, billing period and recurring price.
  6. Select Continue to payment to open the secure payment page. If one individual package is already active, select Upgrade to bundle instead.

When one individual package is upgraded, the confirmation explains that its unused value is credited. Only the prorated difference is charged immediately. The existing renewal date remains in place when the billing period does not change.

Buy the Cafeteria package

The Cafeteria package is purchased for the selected cafe from the HandyCafe dashboard:

  1. Open Add-ons and select the cafe that will use Cafeteria.
  2. Find the Cafeteria subscription card.
  3. Select Choose yearly for $199 per year or switch to Monthly for $19.99 per month.
  4. Review the Cloud + Cafeteria suggestion if you also need Cloud.
  5. Review the package, billing period and subscription price.
  6. Select Continue to payment to open the secure payment page.

The subscription becomes available to the selected cafe after the payment provider confirms the purchase. The price shown in the confirmation is the recurring subscription price for the selected billing period. A new subscription starts on the purchase date and renews from that date.

Locked tabs

When you open a tab for a module you have not subscribed to, the page shows a teaser instead of the feature. The teaser lists what the module includes and offers a button:

  • Buy Now: Opens the purchase page for that module in your web browser.
  • Contact us: When no purchase link is available, opens an email to the HandyCafe sales team.

Purchases and renewals are always completed in your browser through secure HandyCafe links. The Cloud page itself never asks for payment details. Cloud, Cafeteria and bundle subscriptions are managed from Add-ons for the selected cafe. Billing keeps the subscription summary, invoices and payment history.

Subscription status

Each product shows a status badge:

Status Meaning
Active The subscription is paid and current.
Trial The product is in a trial period.
Grace period The subscription has lapsed but is still usable for a short window.
Expired The subscription has ended and the feature is locked.
Inactive The product is not subscribed.

My Plan

The My Plan page shows the license key, current Genesis plan, PC limit, console limit, active PC count, billing period, and next renewal date for the selected cafe. You can upgrade immediately with a prorated charge. A downgrade is scheduled for the next renewal. You can also cancel at the end of the billing period or resume a scheduled cancellation.

Add-ons

The Add-ons page is separate from My Plan. My Plan manages the main Genesis license. Add-ons manages Cloud, Cafeteria and the Cloud + Cafeteria bundle for the selected cafe.

The page selects yearly billing by default. The yearly prices include at least two months free compared with twelve monthly payments. If you start a monthly purchase, a confirmation shows the yearly saving and lets you switch to yearly billing or continue monthly. Selecting an individual package also shows the bundle option before checkout. The final confirmation states that a new add-on starts on the purchase date and that the first payment is collected immediately. If one individual package is active, the bundle option upgrades that subscription with a prorated credit instead of creating a second subscription.

Delete your account

The dashboard Settings page includes account deletion in the Danger Zone. To prevent an accidental deletion, enter your password, type the displayed confirmation phrase, continue and approve the final confirmation dialog.

Deleting an account immediately cancels its Genesis, Cloud, Cafeteria and other linked recurring subscriptions without proration or refund. Unused subscription time and remaining balances are not refunded. If any recurring subscription cannot be canceled, the account is not deleted. After successful cancellation, licenses are disabled and the account is archived in the deleted accounts record with its original account ID.

You can register again with the same email address. The new registration creates a new account ID and does not restore the deleted account or its licenses.
