How to Generate Reports

This guide shows you how to use the Cash Report and Statistics pages to understand your business performance. You can view daily revenue, filter by date range, export to Excel, review cashier shifts, and analyze trends across PCs, members, and applications.


How to View Today's Revenue

The Cash Report page gives you a real-time view of the current day's financial activity.

What you will need

  • HandyCafe Server running.
  • At least one completed session or transaction for the current day.

Steps

  1. Click Cash Report in the left sidebar of the HandyCafe Server application.
  2. The date filter defaults to Today. Verify this is selected at the top of the page.
  3. Review the summary cards at the top of the page. These show the Total Count of transactions, the Total Amount of revenue, and the Average transaction value.
  4. Scroll down to the transaction table for a line-by-line breakdown. Each row shows the PC name, member name (if applicable), session duration, amount charged, payment method, and the cashier who processed it.

Expected result

A complete view of all revenue generated today, summarized at the top and itemized in the table below. The numbers update as new sessions end and transactions are recorded.


How to View Revenue for a Custom Date Range

You can filter reports to any date range to analyze weekly, monthly, or custom periods.

What you will need

  • HandyCafe Server running.
  • Transaction data for the period you want to review.

Steps

  1. Open the Cash Report page from the left sidebar.
  2. Click the Date Filter dropdown at the top of the page.
  3. Select Custom from the filter options.
  4. In the date picker that appears, select the Start Date and End Date for your desired range. For example, select April 1 through April 15 to review the first half of the month.
  5. The report refreshes automatically. Review the updated summary cards and transaction table, which now reflect only the selected date range.

Expected result

The summary cards and transaction table show data exclusively from the selected date range. All totals, averages, and line items are recalculated to match.


How to Export Report Data to Excel

You can copy report data and paste it directly into a spreadsheet application.

What you will need

  • The Cash Report page open with the desired filters applied.
  • A spreadsheet application such as Microsoft Excel, Google Sheets, or LibreOffice Calc.

Steps

  1. On the Cash Report page, apply any desired filters (date range, cashier, etc.) so the table shows exactly the data you want.
  2. Click the Export or Copy button located near the top of the transaction table.
  3. The table data is copied to your clipboard in CSV format, including column headers.
  4. Open your spreadsheet application, click on cell A1, and paste (Ctrl+V or Cmd+V). The data populates in structured columns.

Expected result

A properly formatted spreadsheet with columns for date, PC name, member, duration, amount, payment method, and cashier. You can now use spreadsheet features like pivot tables, charts, and formulas to perform further analysis.

Common mistakes

  • Forgetting to apply filters before exporting. You will get the full dataset, which may include data outside your period of interest.
  • Pasting into a cell other than A1 in an existing spreadsheet. This can misalign the data with existing headers or formulas.

How to View a Cashier's Shift Summary

Track how each cashier performed during their shifts.

What you will need

  • More than one cashier configured in the system.
  • Completed shifts with transactions.

Steps

  1. Open the Cash Report page.
  2. Use the Cashier filter dropdown at the top of the page.
  3. Select the cashier whose shift you want to review by name.
  4. The report filters to show only transactions processed by that cashier. The summary cards update to show that cashier's total count, total amount, and average transaction value. A breakdown by payment method is also displayed.

Expected result

An isolated view of a single cashier's financial activity. This helps you compare performance across shifts, verify cash drawer accuracy, and audit individual cashier activity.


How to Analyze Top-Earning PCs

Identify which machines generate the most revenue.

What you will need

  • The Cash Report page open with the desired date range.

Steps

  1. On the Cash Report page, set the date filter to your period of interest (Today, This Week, This Month, or Custom).
  2. Locate the Device Earnings section of the report. This section ranks PCs by the total revenue they generated.
  3. Review the list to see which PCs earn the most. Note the PC names, total session counts, and total amounts.
  4. Cross-reference with the transaction table below for detailed session-by-session data on any specific PC.

Expected result

A ranked view of PCs by revenue. Use this to identify underperforming machines that might need maintenance or relocation, and high-earning machines that should always stay operational.


How to View Revenue Trends Over Time

Charts on the Statistics page show how your revenue changes over days, weeks, or months.

What you will need

  • HandyCafe Server running.
  • Transaction data spanning at least several days for meaningful trends.

Steps

  1. Click Statistics in the left sidebar.
  2. Select the Revenues tab.
  3. The chart displays revenue over time. Each data point represents a day's total earnings.
  4. Use the date range selector to zoom in or out. A wider range shows long-term trends. A narrow range shows daily fluctuations.
  5. Hover over data points to see exact figures for specific dates.

Expected result

A line or bar chart showing revenue over time. Peaks and valleys become visible, helping you identify your busiest days, seasonal patterns, and the impact of promotions.


How to Check Computer Utilization Rates

Utilization tells you what percentage of the time each PC is actively in use versus sitting idle.

What you will need

  • Transaction and session data spanning the period you want to analyze.

Steps

  1. Navigate to Statistics in the left sidebar.
  2. Select the Computer Usage tab.
  3. Review the utilization chart or table. Each PC is shown with its usage percentage. A PC used 6 hours out of a 12-hour business day has 50% utilization.
  4. Filter by date range to see utilization for specific periods.

Expected result

A clear picture of which machines are heavily used and which sit idle. Low-utilization PCs may indicate hardware problems, poor location in the cafe, or excess capacity.

Common mistakes

  • Comparing utilization across different date ranges without accounting for business hour differences. A PC with 40% utilization over a week that includes a holiday is not necessarily underperforming.

How to Review App Usage Analytics

See which applications customers launch most frequently.

What you will need

  • App usage tracking enabled on client PCs.
  • Session data with recorded app launches.

Steps

  1. Navigate to Statistics in the left sidebar.
  2. Select the Applications tab.
  3. Review the list of applications ranked by total usage time or launch count.
  4. Filter by date range to see trends in app popularity over specific periods.

Expected result

A ranked list of applications by usage. This helps you decide which games or apps to promote, which licenses to renew, and what new software your customers might want.


How to View Member Spending Patterns

Analyze how your registered members spend their time and money.

What you will need

  • Member accounts in the system.
  • Session and transaction data associated with members.

Steps

  1. Navigate to Statistics in the left sidebar.
  2. Select the Member Usage tab.
  3. Review member activity data showing total sessions, total spending, average session duration, and frequency of visits.
  4. Filter by date range or search for specific members to narrow the view.

Expected result

Insight into your most active and highest-spending members. Use this data to design targeted campaigns, identify VIP customers, and understand member retention patterns.

Common mistakes

  • Drawing conclusions from a very short time period. Member spending patterns are more meaningful over weeks or months, not single days.
