Migrating from Other Cafe Software
HandyCafe can import your data from four other internet cafe programs used in Turkey: Pancafe, Akinsoft CafePlus, EveryCafe and NetCafe Master. You point HandyCafe at the old program's database file or installation folder. HandyCafe reads it, shows what it found and copies the data into your live database.
The same page also imports from older HandyCafe 3.x and 4.x installations. That source is covered in Data Migration.
Where to Find It
- Open Settings.
- In the Infrastructure & System group, select Migration.
- The Data Migration page opens. Pick a source card at the top.
When the other sources appear
The Pancafe, Akinsoft CafePlus, EveryCafe and NetCafe Master cards are shown only when one of these is true:
- The cafe country in Cloud > Cafe Profile is Turkey.
- The HandyCafe interface language is Turkish.
Otherwise the page shows only the HandyCafe Legacy source and no source cards.
What Each Source Imports
| Source | You pick | Imported | Not imported |
|---|---|---|---|
| Pancafe | The USDB.DAT database file (Firebird) |
Cashiers, members with their wallet balance, products, cash ledger income and cash ledger expenses | Session rows and member wallet history, because the cash ledger already holds that money |
| Akinsoft CafePlus | The CAFEPLUS.FDB database file (CafePlus 12, Firebird) |
Staff, customer accounts with their balance, debt and bonus, products, session and tab collections, stock purchases | Cafeteria sales as separate rows, price tariffs, PC definitions, settings and passwords |
| EveryCafe | The .ecm database file, usually ecmdata.ecm |
Cashiers, members with their wallet balance, products, orders, paid sessions as transactions and Steam accounts | Activity logs. Price lists are kept only as a reference table |
| NetCafe Master | The installation folder, usually C:\lwserver |
The game catalog with categories and artwork. The PC inventory with hardware records | Members, sessions and cash data. The source does not hold them |
Pancafe and Akinsoft files are read without a Firebird server. Nothing extra has to be installed.
Pancafe notes
- Members keep their old passwords. Pancafe stores them in plain text. HandyCafe hashes them securely during the import.
- The wallet balance is the current balance. A negative balance is recorded as member debt.
- Cashiers get an empty password. An admin must set a new password for each cashier before they can sign in.
Akinsoft CafePlus notes
- CafePlus keeps customers and other accounts (such as suppliers) in one table. All of them are imported so no balance is lost. Only rows marked as members in CafePlus can sign in.
- The customer's balance goes to the wallet. Debt goes to the member debt ledger. The remaining bonus goes to the bonus balance.
- Cafeteria sales are not imported separately. Each session row already carries its tab total.
- Price tariffs are not converted. Set up your pricing by hand.
- Passwords are not carried over. Staff and members need new passwords.
EveryCafe notes
- EveryCafe stores passwords in a form that cannot be reused. Imported members have no password. Imported cashiers cannot sign in until an admin sets a password.
- The wallet balance is calculated from EveryCafe's paid, bonus and spent totals.
- EveryCafe price lists are shown under PriceList reference on the page. They are not imported as products or tariffs. Use them as a guide when you set up pricing.
NetCafe Master notes
NetCafe Master is a diskless boot and game distribution system, not a cafe management program. It has no member, session or till data. The import brings in:
- Games and categories. Category names come from the old folder layout. You can rename them after the import. Entries that are not games (such as graphics driver packages) are skipped.
- Artwork. Each game's poster is used for both the poster and the horizontal cover. The client extracts each game's icon from its executable. The store app id is left empty.
- PCs. Name, MAC address and IP address. The hardware inventory is optional.
- Repaired text. Turkish characters that were saved in the wrong encoding are fixed during the import.
Step by Step
Import from Pancafe, Akinsoft CafePlus or EveryCafe
- Take a backup first. Open Database Maintenance and back up now.
- Close the old program so its database is not being written.
- Open Settings > Migration and select the source card.
- Press Browse and pick the database file. You can also type the path.
- Press Inspect. The Preview shows what was found: row counts and, depending on the source, the format, the history range, the cafe name or the server name and version.
- Press Start migration. A progress dialog shows each phase.
- When the run ends, expand Last import counts and compare the numbers with the old system.
- Set passwords for imported cashiers in Staff Settings.
Start migration stays disabled until an inspection succeeds.
Import from NetCafe Master
- Open Settings > Migration and select NetCafe Master.
- Press Browse and pick the installation root folder, usually
C:\lwserver. Do not pick the backup folder. - Press Inspect.
- Under Categories, untick any category you do not want. All are selected at first.
- Under Drive mapping, enter the folder on this server that holds the games for each source drive. Games on a drive you leave empty are imported hidden. This prevents broken shortcuts.
- Choose the options: Import game artwork, Fill in descriptions and search aliases from the catalog, Import PCs and Import hardware inventory. All are on by default.
- Press Start import.
- Expand Last import result to see the counts.
If the folder looks like a backup, the page warns you. Starting the import then asks you to confirm, because a backup can be years out of date.
Undo an import
- Open the source on Settings > Migration.
- Press Undo migration (for NetCafe Master, Undo).
- Confirm.
For Pancafe, Akinsoft CafePlus and EveryCafe, every row imported from that source is removed. For NetCafe Master, the imported games, categories and PCs are removed. PCs that have connected since the import are kept. Categories you added your own games to are also kept.
How Runs Behave
- The source is read-only. HandyCafe never writes to the old program's file or folder.
- Re-running is safe. Rows already imported are updated in place, not duplicated. After a completed run the button reads Re-run migration (for NetCafe Master, Run again).
- Warnings do not stop the run. Rows that could not be read are skipped. The run finishes with a warning. Check Logs for the skipped rows.
- An interrupted run can be started again. If HandyCafe closes during an import, the page says the previous import was interrupted. Starting again is safe.
- Dates use this computer's time zone. For Pancafe and Akinsoft CafePlus, run the migration on the machine that will use the data.
Permissions
Only Admin cashiers can open Settings and run a migration.
Troubleshooting
I do not see the Pancafe, Akinsoft, EveryCafe or NetCafe Master cards. Set the cafe country to Turkey in Cloud > Cafe Profile. Switching the interface language to Turkish also shows them.
Start migration is greyed out. Press Inspect first. The button enables once the file has been read.
Imported cashiers cannot sign in. Passwords are not carried over for cashiers. Set a new password for each one.
Revenue looks lower than in the old program. Check the history range in the preview. Only what the source file holds is imported. Session rows (Pancafe) and separate cafeteria sales (Akinsoft) are left out on purpose to avoid counting the same money twice.
NetCafe Master says no installation was found. Pick the installation root folder, not a folder inside it.
