Payment Providers

Payment providers are the outside services HandyCafe hands a sale to at the point of sale. A fiscal provider issues the legal receipt and, in some countries, charges the card on its own terminal. A payment provider takes online card and wallet payments from members.

All providers are configured in one place: Settings > Payment Methods. The page is a tab strip. The first tab, Methods, is the cafe's own list of payment methods. Every other tab is one provider.

This page covers the provider tabs. For the Methods tab, commission rates and fixed fees, see Payment Methods.

Where to Find It

  1. Open Settings.
  2. In the Revenue group, select Payment Methods.
  3. Select the tab of the provider you want to set up.

Settings is available to Admin cashiers only.

Which Tabs You See

The provider tabs are not the same for every cafe. The list comes from the HandyCafe Cloud provider catalog for your license, plus one provider that is added locally.

Tab Kind When it appears
Ödeal Fiscal device with card terminal Only for cafes the Cloud catalog allows. Ödeal is a Turkey-only provider.
Checkbox Fiscal register (Ukraine PRRO) When the country in Settings > General is Ukraine. It is added on the server itself. It stays available during a Cloud outage.
Stripe Online payments Offered in every country the catalog lists. Where Stripe does not support your country yet, the tab still appears with a notice.

If the Cloud cannot be reached, HandyCafe keeps showing the last provider list it verified. A tab you were using does not disappear because of a temporary network problem.

A tab that disappears from the catalog (for example after a subscription or country change) is removed from the strip. The page then falls back to Methods.

Tab states

State What you see
Cloud badge with a lock The provider needs an active HandyCafe Cloud subscription. The tab shows Requires a Cloud subscription and a Subscribe to Cloud button that opens the plan page of the HandyCafe dashboard in your browser.
Unavailable here badge The provider does not support cafes in your country yet. The tab shows Not available in your country yet. It activates by itself once your country is supported.
No badge The provider is ready to configure.

Ödeal (Turkey)

Ödeal is a D2D fiscal terminal. At checkout HandyCafe sends the basket to the terminal. The terminal prints the fiscal slip or e-Archive receipt and, for card payments, charges the card. The region badge and the short description at the top of the Ödeal tab are always shown in Turkish.

The tab has three parts.

Ödeal account

Enter the Merchant key and Secret key that Ödeal gave your business. Both keys must be entered together. After saving, the keys are stored encrypted and are not shown again. The card shows Configured and a masked hint of each key.

Connection test checks the Ödeal account and API access. It does not print a receipt, charge a card or prove that the terminal is paired.

Fiscal devices

Press Add device to add the terminal. Only one Ödeal terminal can be added per server. The Add device button is disabled while one exists.

Field What to enter
Device name A local name, for example "Counter 1".
Ödeal device name (externalDeviceKey) The device name created during Ödeal setup, exactly as it appears in Ödeal.
PaxID The terminal's PaxID, if Ödeal gave you one.
Environment Stage for testing, Production for live sales.
Payment result wait time (s) How long HandyCafe waits for the terminal to report the result. Between 10 and 600 seconds.
Customer city and Customer district Sent with the receipt.
Session: VAT rate (%) VAT rate for session time. Default 20.
Order: VAT rate (%) VAT rate for cafeteria orders. Default 20.

The switch in the device header turns the terminal on. A terminal cannot be active without saved keys for the selected environment. If you switch it on without them, it is saved inactive and a warning says so. Changing the environment requires both keys to be entered again.

Press Save at the bottom of the tab to store the changes. Cancel discards them.

Unreconciled Ödeal settlements

Below the device list, Unreconciled Ödeal settlements lists payments Ödeal confirmed but HandyCafe could not record and could not reverse. A station with such a record is locked from new card payments. Check the payment in the Ödeal dashboard, then use Clear this record on the row and enter a Reconciliation note. Clearing removes the station's lock.

For how cash, card and mixed payments flow through the terminal, see POS Integrations. That page also covers the remote enable and disable rules.

Checkbox (Ukraine)

Checkbox is Ukraine's cloud cash register (PRRO). It signs each receipt and registers it with the State Tax Service. HandyCafe talks to Checkbox directly from the server. Your licence key and cashier sign-in stay encrypted on this machine and never pass through HandyCafe Cloud. Checkbox does not need a HandyCafe Cloud subscription.

Checkbox does not charge cards. A card payment the cafe took on its own terminal is recorded on the receipt as a card payment collected outside Checkbox.

Checkbox credentials

Field What to enter
Licence key One licence key per cash register, from your Checkbox account.
Cashier sign-in Choose Login and password or PIN code.
Cashier login and Cashier password Shown when the sign-in mode is login and password.
Cashier PIN Shown when the sign-in mode is PIN code.

The values are write-only. After saving, the card shows Configured and the saved licence and cashier as masked hints.

Test connection saves any new credentials, signs the cashier in and loads the tax rates from your Checkbox organisation. On success it reports the cashier name and the register's fiscal number. If the cashier is valid but the tax service does not answer, a warning says receipts cannot be registered until it is reachable.

Shift

Checkbox refuses a sale while the shift is closed. HandyCafe opens the shift by itself on the first sale of the day. You can also manage it by hand:

  • Open shift opens a shift now.
  • Close shift files the Z report with the tax service. You are asked to confirm, because this cannot be undone.
  • Refresh reloads the shift state.

The card also shows Offline fiscal numbers left. The number turns amber when fewer than 10 are left.

Register self-check

The self-check asks the register to prove it works before you open for business. Until a run passes, the first real receipt is held back.

  • Run self-check checks the cashier sign-in, the cash register, the tax rate table, the tax service, the offline receipt codes and the shift. It issues no documents.
  • Also test a receipt runs the same checks and then issues a real 1 UAH receipt in your own books and returns it. You are asked to confirm first.

Each step shows whether it passed, failed or was skipped. When the register passes, the card reads This register is ready to issue receipts.

Cash registers

Press Add register to add the register. Only one Checkbox register can be added. Give it a name and choose:

  • Tax rate for session time
  • Tax rate for food and drink

Both lists come from your Checkbox organisation. They stay disabled until Test connection has loaded them. Not subject to VAT is always the first choice.

The switch in the register header turns it on. A register cannot be switched on before credentials are saved. Press Save at the bottom of the tab to store the changes.

Stripe (Online Payments)

The Stripe tab connects Stripe through HandyCafe so members can pay by card, wallet and local payment methods. Payouts reach your bank on Stripe's schedule. HandyCafe applies a small platform commission on each charge.

Stripe onboarding does not happen in the desktop application. Press Connect Stripe. The payments page of the HandyCafe dashboard opens in your browser. You finish the secure Stripe setup there. No card data or Stripe secret is entered in HandyCafe.

The Stripe tab needs an active HandyCafe Cloud subscription. Without one it shows the Requires a Cloud subscription notice.

Permissions and Requirements

  • Only Admin cashiers can open Settings.
  • Ödeal and Stripe need an active HandyCafe Cloud subscription. The Ödeal tab also depends on the Cloud allowing Ödeal for your cafe.
  • Checkbox needs no Cloud subscription. It needs the server country set to Ukraine and your own Checkbox account.

Troubleshooting

A provider tab I expected is missing. Ödeal only appears when the Cloud catalog allows it for your cafe. Checkbox only appears when the country in Settings > General is Ukraine.

The terminal or register switch turned itself off after saving. No credentials were saved for it yet (for Ödeal, for the selected environment). Enter the credentials, save, then switch it on again.

The Checkbox tax rate lists are empty and disabled. Run Test connection to load the tax rates.

The first Checkbox receipt was refused. The register has not passed a self-check yet. Run Run self-check and fix any failed step.

Connect Stripe does nothing. HandyCafe could not open your browser and shows a notice. Open the HandyCafe dashboard yourself and go to the payments page.
