Registered Clients

Registered Clients is the list of every client PC that has ever connected to the server. It is where you rename PCs, assign them to a zone or a pricing group, check what hardware is inside them and remove PCs you no longer use.

A PC is added to the list by itself the first time it connects. You do not add PCs by hand.

Where to Find It

Open Settings, then Clients, then the Registered Clients tab.

Settings is available to administrators only.

Automatic Client Name Prefix

The field at the top of the tab, Automatic Client Name Prefix, sets how a new PC is named. The default is PC #, which gives PC #1, PC #2 and so on.

  • A new PC gets the prefix plus the lowest number not yet used with that prefix.
  • Changing the prefix affects PCs that register after the change. Existing PCs keep their names.
  • An empty field goes back to PC #.

Press Save at the bottom of the Settings page to keep a new prefix.

The PC List

The left side lists the PCs, sorted by name. Each row shows:

  • The display name.
  • One hardware line. This is the graphics card. When the graphics line is empty, the processor, memory or BIOS is shown instead. No hardware recorded means the PC has not reported anything yet.
  • When the PC was last seen.

The search box above the list matches the name, MAC address, IP address, host name, processor, graphics card and note.

The line under the list shows how many PCs have hardware recorded, for example 12 of 15 PCs have hardware recorded.

Nothing is selected when the tab opens. Click a PC to open its details on the right.

PC Details

The top of the detail panel shows:

Item What it does
Name box The display name. Edit it directly.
MAC, IP and host name Read-only reference line under the name.
Remove button The bin icon. Removes the PC from the list. See below.
Zone The zone the PC belongs to, or Unassigned.
Pricing Group The pricing group of the PC, or No group (Standard).
Last Seen The last time the PC connected.

Zone and pricing group changes are saved as soon as you pick a value.

The pricing group list shows only groups that are already saved. A group you just added on the Pricing page appears here after you press Save there.

Renaming a PC

  1. Select the PC.
  2. Type the new name in the name box.
  3. Press Enter or click elsewhere.

The new name is saved at once and shown on the Computers page. Escape cancels and puts the old name back.

Names must be unique. A name already used by another PC is refused with This client name is already in use. An empty name is not saved.

Hardware Inventory

The Hardware inventory section lists what is inside the PC in two groups.

Group Fields
Compute Processor, Graphics card, Motherboard, Memory, Storage, BIOS
Display and peripherals Monitor, Resolution, Refresh rate, Keyboard, Mouse, Network adapter

A Note field below them holds anything else, such as an asset tag or a warranty date.

A label next to the heading shows where the data came from:

Label Meaning
Reported The client sent it when it connected.
Manual Someone edited it here.
Imported It came from a migration from another cafe program.

The date of the last update is shown next to the label.

Editing hardware by hand

  1. Press Edit.
  2. Change the fields in place.
  3. Press Save.

A saved edit marks the entry as manual. Client reports no longer overwrite it.

Clearing hardware

Clear inventory removes the recorded hardware for the PC after a confirmation. The next client report fills it in again.

Removing a PC

Removing a PC takes it off the registered list. Use it for PCs that were replaced or taken out of service.

  1. Select the PC.
  2. Press the bin icon in the detail panel.
  3. Confirm.

Rules:

  • Only an offline PC can be removed. For a connected PC the button explains that it must be disconnected first.
  • If the PC still has an open session, the confirmation warns that removing it discards that session without collecting anything. Confirm only if the session cannot be closed the normal way.
  • A removed PC that connects again is registered again as a new PC.

PC Seat Limit

Your plan covers a set number of PCs. When a PC is turned away because the limit is reached, a banner appears on this tab. It shows how many PCs are registered and how many your plan covers. Remove a PC you no longer use to free a seat, starting with the oldest Last Seen.

See Licensing for adding seats.

Troubleshooting

A PC is missing from the list. It has not connected to this server yet. Check the client installation and the network settings.

The rename was refused. Another PC already has that name. Names are compared without regard to upper and lower case.

A PC shows No hardware recorded. It fills in its hardware the next time it connects.

The remove button says the PC must be disconnected. The PC is still connected. Turn it off or close the client first.
