Settings Overview

The Settings page is the central configuration hub for your HandyCafe server. All operational parameters for your internet cafe or gaming center are managed here, including pricing, network configuration, client appearance, and authentication.

Accessing Settings

Open the Settings page from the main navigation sidebar. The page displays a category list on the left and the active category's configuration panel on the right. General opens by default.

Settings Categories

The settings sidebar groups configuration into the following categories:

Operations and Revenue

Category Description
General Country, language, font, currency and calendar preferences
View Which pages, title bar buttons, info cards and log tabs are visible
Pricing Hourly rates, fees, VAT, rounding and session presets. Pricing Plans and pricing groups are tabs on this page
Pricing Schedule Time-based pricing multipliers with a visual weekly grid
Staff Manage cashier accounts and their assigned roles
Loyalty Loyalty point earning and the tier thresholds that grant discounts
Payment Methods The payment methods offered on the payment screen
Campaigns Time and wallet campaigns sold to members
Menu Management Cafeteria menu categories and items
Suppliers Supplier records used by inventory and expenses
Inventory Stock levels, stock movements and low stock thresholds
Cafeteria Business details for the cafeteria module. Shown once the module is enabled

Client Devices and Access

Category Description
Clients Client device settings with sub-tabs for General, Content and Menu, Appearance, Idle Screen and NFC card login
Consoles Console records plus the network power management block
Device Finder Scan the network for consoles, TVs and computers that still need setting up
Licenses Game account pool handed to stations on demand
Floors Group PCs and consoles by the floor they sit on
Remote Management Remote desktop quality, capture and permission settings
Client Security Anti-cheat tamper monitoring, HWID blacklist, client hardening and access logging
Legacy Clients Runtime protocol listeners and optional database migration for V3 and V4 client installations

Infrastructure and System

Category Description
Network TCP, UDP and file transfer port configuration plus connection key
Printers Printer inventory and role assignment for bills, kitchen and ticket receipts
Sounds Notification sounds for cashier calls, orders and session events
File Sync File synchronization to push updates and files to client PCs
Folders Where the database, working files, access logs and application logs are kept
Database Maintenance Backup, vacuum, integrity checks and scheduled maintenance
Migration Import members, products, pricing and history from a HandyCafe 3.x/4.x, EveryCafe or Pancafe installation

Account

Category Description
Account Contact person, cafe, country, current plan, active Cloud and Cafeteria Add-ons, renewal state, device limits, Dashboard access, status refresh and account sign-out
About Application versions, mobile application links, Dashboard access, website and documentation

Some categories appear only when the matching module is enabled for the cafe. The Cafeteria block is shown once the Cafeteria module is on. Ödeal POS settings live under a tab on the Cloud page rather than in Settings and appear only for cafes whose Cloud catalogue lists the integration. See Integrations.

Saving and Canceling Changes

Global Save and Cancel buttons are displayed at the bottom of every settings panel.

Actions on the Account page take effect immediately. They do not use the global Save and Cancel buttons.

  • Change detection -- The Save button is only enabled when you have made modifications to the current category. If no changes are detected, the button remains disabled.
  • Cancel -- Reverts all unsaved changes in the current category back to the last saved state.
  • Validation feedback -- If any field contains an invalid value (for example, a port number outside the allowed range), the Save button is disabled and the problematic field is highlighted with an error message.
  • Notification on save -- After a successful save, a confirmation notification appears briefly at the top of the panel. If the save fails (for example, due to a database write error), an error notification is shown instead.

Tips

  • Changes to network settings (ports and connection key) require a server restart and corresponding updates on every client device.
  • Pricing and schedule changes take effect for new sessions immediately; active sessions continue under the pricing terms that were in place when they started, with new pricing segments created at schedule slot boundaries.
  • Client appearance and menu changes are pushed to all connected clients in real time. No manual sync is required.
